Requests for Payment (RFPs)

Considering the Foundation and University work from home arrangements, the requirement for physical signatures on Requests for Payment (RFPs) is being temporarily suspended. RFPs with email approval will now be accepted. RFP preparers and approvers should follow the process below:

1. Preparers – complete the RFP electronically. The template can be found here: https://www.ndsufoundation.com/file/policies-and-forms/External-Request-for-Payment-Template.xlsx. Please use the subject line, “Foundation RFP”. When complete, please email the form to the first approver, along with the required documentation (receipts, invoices, purchase orders, etc.) and the Department Deposit Form (more information below)
2. First Approver – review the form and accompanying documentation. If the RFP meets with approval, indicate APPROVED and forward the form and accompanying documentation to the second approver (if applicable) or the Provost’s office at ndsu.provost@ndsu.edu. This step should be repeated if a second approver is necessary.
3. Provost – If the RFP meets with approval, please indicate APPROVED on the original email and forward to accountspayable@ndsufoundation.com.

Reimbursements for Requests for Payment (RFPs) will continue to be issued to the University on a weekly basis. Electronic payments for RFPs are required during this time instead of paper checks. Please include a copy of the Department Deposit Form (https://www.ndsu.edu/fileadmin/vpfa/forms/CAS-DeptDeposit.pdf) with your RFP and supporting documentation. Reimbursement will be processed via ACH and the deposit form will be provided to Customer Account Services. A payment confirmation will be sent by Foundation staff to the preparer of the RFP.
